These walkthroughs show the complete flow in the Spanish interface.

One screen, two halves: your firm’s settings on the left, your own account on the right.

Before you start

  • Anyone with an account can open “My account”.
  • My account is in everyone’s account menu. Firm settings sections require the owner role: seeing their cards in the hub does not grant permission to read or change the firm’s configuration.

Step by step

  1. Open your account menu — your name, at the foot of the sidebar — and tap My account.

  2. Under Firm settings, pick one of the four doors:

    • Firm details — name, country, timezone, currency, address, and the emails your firm presents itself with.
    • Matter types — pick a branch of law to see its subtypes; add a new one, edit it, or turn it on or off. One seeded by the country can’t be deleted, only turned off.
    • AI assistant — mark which categories the assistant may do on its own; everything else is always asked about first.
    • Firm memory — what the team promoted to institutional memory, who promoted it and from which matter; revoke it if it no longer applies.
  3. Under My account, pick one of the four doors:

    • Your details — your name, phone, address, document number, and the language you receive the product and emails in.
    • How you sign in — your password, your second factor, whether Google is linked, your sign-in email, and the outside apps authorized on your account.
    • Your firm — which firm you belong to and your role; if you’re the owner, this is also where you declare the firm’s practice areas.
    • Your privacy — what you authorized, your data requests, how to ask for access, correction, or an objection to how your data is processed, and how to ask for your account to be cancelled.

  4. Inside Your privacy:

    • Pick the right you want to exercise —access, correction, or objection— and write your reason: it’s filed and you’ll see it in the request list with its deadline.
    • Download a copy of your own account data whenever you want: it’s automatic, no need to ask for it.
    • Ask for your account to be cancelled by writing your reason — it’s filed, not deleted on the spot.
  5. Use the “All settings” button to go back to the hub.

Second factor for sign-in

A second factor adds a code from your authenticator app after your password or Google sign-in. It is required for practice owners and platform administrators; other accounts can enable it voluntarily. Signing in with Google does not replace this step.

Enable it and save the codes

  1. In My account → How you sign in, open Manage second factor. If you just opened a practice, setup appears before you enter the practice.
  2. Choose Set up authenticator. Scan the QR code with Google Authenticator or another compatible app. If you cannot scan it, enter the manual key in that app.
  3. Enter the app’s current six-digit code and choose Enable second factor. It is enabled only after the code is verified.
  4. Save the ten recovery codes somewhere safe, separate from your phone. They appear only once and each works only once. Select I have saved my codes somewhere safe and choose Continue.

The QR, manual key and recovery codes are account secrets: do not share them or include them in public screenshots. Those shown in the tutorials belong exclusively to demonstration accounts.

Sign in with the authenticator

Sign in with your password or Google. On Verify your sign-in, enter the six-digit code from your app and choose Verify and continue. If it changed or you already used it, wait for the next code. You cannot access matters until you complete the second factor. If you started from an invitation, you return to it to confirm acceptance.

Recover access or change your phone

If you lost your phone, choose Use a recovery code on the verification screen and enter an unused code. If it is your last one, Custodio requires you to set up another authenticator before continuing: confirm the new code and save the new recovery set.

To change phones, you can also choose Change authenticator from verification or Manage second factor. Confirm with your current authenticator or a recovery code, scan the new QR on the new phone, and verify its six-digit code. The old authenticator remains active until you confirm the new one. Then save the new recovery codes; the old ones no longer work.

Generate new recovery codes replaces the previous set and requires you to verify your factor. Enabling, changing or disabling the factor, and renewing recovery codes, signs out your other sessions and revokes authorized connections to external assistants: authorize them again if needed. Practice owners and platform administrators cannot disable the second factor.

If setup asks you to sign in again, do so: these operations require a recent sign-in. After several incorrect codes, wait for the period shown in the message. If you have neither your authenticator nor recovery codes, resetting your password by email does not recover the second factor. Contact support to explain the problem; there is no email link that removes this protection and access recovery is not guaranteed.

How you know it worked

Profile forms confirm “Saved” at the bottom. For example, open Firm details, change the phone number, check the required billing email and save. Reload the same section to verify that the values remain: typing without saving is not enough.

Other actions have their own confirmations: a request is filed, and revocation warns about its consequences. Check what you are changing before confirming; editing your personal profile does not change the firm or its plan.

Depending on your country

The mechanism behind your rights over your personal data is the same in Colombia, Ecuador and the Dominican Republic; what changes is the legal basis and the deadline your firm has to answer — in the Dominican Republic it is set by Ley núm. 172-13, which gives five business days for access and ten for rectification or cancellation — it’s explained in the personal data processing policy. Costa Rica is registered and not offered yet: when it opens, its deadline will be a single one for everything, five business days counted from the day after your request (Ley N° 8968 and its Reglamento), and it will have neither objection nor portability, because Costa Rican law does not recognise them.
